How to sync your HRIS data using an SFTP integration

A guide to securely export, transfer, and integrate HRIS data with our platform.

An SFTP (Secure File Transfer Protocol) integration is an excellent method for syncing your employee data with the data in your HRIS to People Insight. People Insight supports a secure, one-way connection that imports data files from HRIS tools that support SFTP or third-party SFTP clients.

Setting up an SFTP Integration

To get started with integrating your HRIS data with our platform, you will need to follow the steps outlined below. This guide will help you prepare the necessary data and securely transfer it to our system.

Step 1: Exporting Data from Your HRIS

Ensure that your HRIS (Human Resources Information System) can export the required data programmatically. You should be able to generate a report containing specific fields, and the file must be transferred to our SFTP site.

Required Fields

At a minimum, your report must include the following fields:

  • First Name

  • Last Name

  • Employee ID

  • Work Email

Additional Fields for Lifecycle Surveys

If you plan to run Lifecycle surveys, such as Joiners' and Leavers' surveys, you will need to include these additional fields:

  • Hire Date

  • Termination Date

Optional Fields for Filtering

If you wish to filter your dashboard by further characteristics or demographics, please include the relevant fields in your report. Common fields that might be used for filtering include:

  • Supervisor ID

  • Supervisor Name

  • Job Title

  • Department

  • Division

  • Location

  • Team

  • Length of Service

Step 2: Preparing the File for Transfer

We recommend that the file is zipped and encrypted to ensure data security. You will need to provide the following information:

  • SFTP Site Details: We will supply you with the Host, Username, and Password for accessing our SFTP site.

  • IP Address: Provide us with the IP address from which the file will be transferred.

  • File Password: Since the file is encrypted, you must also supply the password to decrypt the file.

Step 3: Scheduling Data Transfers

You will need to determine the frequency of data updates. Our process runs daily and will automatically pick up any files available on the SFTP site. Decide how often you will send updated data (e.g., daily, weekly, etc.).

Step 4: Configuration and Testing

Once you have successfully uploaded your file, please notify us. We will then set up the configuration in the Organisation Directory and map the data fields accordingly.

After the initial setup, we will conduct a series of tests with you to ensure that all data is synchronised correctly and that the integration works as expected.
