How we handle your data: pseudonymisation, anonymisation, and retention on our main platform

At People Insight, we take data privacy and security seriously. This article explains how we process, anonymise, and retain your data throughout the survey lifecycle.

Pseudonymisation on panel import

When survey data is initially imported into our platform, we pseudonymise it by hashing employee IDs. If email addresses are used as proxies for employee IDs, these are also hashed at this stage. This process ensures that personal identifiers are protected from the very beginning, keeping your data secure during processing.

Anonymisation after survey completion

Once survey responses are submitted, we go a step further by anonymising the data. This means we remove all participant names and email addresses, ensuring that individual responses cannot be linked back to any person. The only identifier we retain is the hashed employee ID, which we use for historical analysis and benchmarking throughout the contract period and for up to 12 months after the contract ends.

Retention of survey data

Survey data is fully anonymised 120 days after the last response is received. Only hashed employee IDs or email addresses are retained, which allows us to continue providing valuable insights while ensuring the privacy of individual respondents.

Dashboard users

For dashboard users, we retain email addresses so that they can access their dashboards. These email addresses are stored securely and kept for up to three years after the last account activity, ensuring continued access and functionality as required.
