Distribution access

In order to distribute your survey to participants, head to the 'distribution access' section at the top of the 'distribution tab'. There are five different ways in which to present your survey, three methods for use with a Panel file and two methods for use with No Panel file:

  1. Panel - Email links

  2. Panel - Via open-link with access code

  3. Panel - Via open-link with employee number access code

  4. No Panel - Open-link with password

  5. No Panel - Open-link without a password

Panel - Email links

To send out the panel file using email links, toggle the option on. You can then go to the 'schedule email batches' section and schedule emails to be sent out to the survey participants.

Panel - Via access code

If you would like to send participants a link or QR code that can be accessed by a code, toggle this option on (In order to use this method of distribution, you will need to have uploaded unique access codes for each participant during the panel file upload: column H in the panel file)

First, create a unique suffix for the survey link (URL) for this method of access. The system will check that the suffix for this survey has not been used on other surveys in your organisation:

You can then either copy the URL or the QR code using the following buttons:

You can also use the 'download access codes' button to download a list of participants along with their unique code.

Panel - Via employee number access code

This method requires that the participant enters their employee ID (uploaded via the panel file). Toggle this option on and provide a unique suffix. You can also toggle on 'replay emp no', this will display to the participant, the number they have entered, in order to check that it is correct.

No Panel - Open-Link with password

Toggle this method on and provide a unique suffix to allow the survey to be sent out via URL or QR code. You can set a password by using the 'configure passwords' button

You can set a password by using the 'configure passwords' button, and are able to set an overall password, or you can setup by demographic. For example, you could have one password for the 'corporate services' team and a separate password for the 'operations' team:

PLEASE NOTE: Because this is an open link with no panel file, participants can technically partake in the survey multiple times.

No Panel - Open-link without a password

Toggle this method on and provide a unique suffix to allow the survey to be sent out via URL or QR code.

PLEASE NOTE: Because this is an open link with no panel file, participants can technically partake in the survey multiple times. It will also be accessible by anyone as there is no password protection applied.

Combining distribution methods

It is possible to use both the Panel Unique Links via email, and Employee ID Access Code, methods of distribution. However, you cannot combine the 'Panel' and 'No Panel' methods.
