We recognise that people are at the heart of every organisation, and their engagement is essential to driving positive change. With this in mind, our new Action Planning "nudge" emails are designed to help you turn survey insights into real actions ā making a difference where it counts.
These emails are configurable and can be easily turned on or off based on your organisation's preferences. You can control what gets sent and when, ensuring that emails act as helpful nudges, not irritations.
And for those who prefer a more hands-on approach, you have the option to assign actions to others and monitor their progress through comprehensive reporting.
This new functionality is a step forward, giving you and your team the tools to drive improvements based on employee feedback, all while ensuring the process remains flexible and user-friendly.
Overview of the "nudge" emails
All the emails listed below are configurable ā as a dashboard admin can decide which ones are enabled and set them to fit your organisationās needs. And if even action planning is turned on at a dashboard level, dashboards can be set to not have "nudges" enabled. If we are managing your survey for you, we can set up this all up for you.
Hereās how they work:
Results and invitation email
This email is sent when survey results are available, providing key insights like respondent engagement and Key Driver analysis. If Action Planning is enabled, it includes a "nudge" for your dashboard users to start planning actions.
If Action Planning is off, your dashboard users will instead receive a Results Summary email, which provides a high-level overview of the survey results without the Action Planning invitation.
Reminder email
If no actions are taken after the initial results email, a reminder can be sent. This encourages users to take the next step in planning and is scheduled by a configuration setting, with the option to repeat weekly. The frequency and number of reminders are fully configurable.
Action progress email
For users who have set up actions but havenāt made any progress, this email nudges them to update their actions after 4 weeks.
Action due in one month
Sent when an action is due in one month, this email provides a reminder with the details and due date of the task. Like all other emails, you can configure whether this message is sent.
Action due today
This reminder is triggered when an action is due today. Itās designed to help users stay on top of their tasks.
Well done email
When an action is completed by someone to whom you have assigned an action, this email acknowledges their completion of the action.
Assigning actions and tracking progress
In addition to receiving reminders about their own actions, dashboard users can assign actions to others. This feature includes a simple typeahead search to find colleagues and delegate tasks. Once an action is assigned, the recipient is automatically notified by email. You'll also have the ability to track their progress through comprehensive reporting tools ā a great way to ensure accountability and follow through across teams.
Designed to support, not irritate
We know how important it is for emails to feel like gentle reminders rather than annoyances. Thatās why every email in the system is designed to be a helpful nudge, giving users the right information at the right time. With full control over which emails are sent and when, you can be sure the system works for your team, not against them.
Customising email content and settings
Administrators (us or you) can easily customise each emailās content via the admin panel. You can turn specific emails on or off, adjust their timing, and tailor the messaging to reflect your organisation's tone. This flexibility ensures that your communication is both relevant and effective, without overwhelming your users.
Reporting and monitoring
The new Action Insights screen allows dashboard super users to track:
Which emails were sent, when, and to whom.
Delivery status (sent, delivered, opened).
Actions taken by users after receiving the emails (e.g., creating, updating, or completing actions).
These reports help ensure that the emails are driving the intended behaviours and allow for easy monitoring of both individual and team progress.
