Sending survey invite and reminder emails

In the ‘Distribution Tab’ scroll down to the ‘Scheduled email batches’ section. You can choose to create an email batch either by recipient or by demographic:

Click 'create new (by demographic)' A pop-up window will appear. Add your ‘Batch name’ (e.g. invite) and select your email template (this is built separately in the 'design tab', see instructions here) from the drop-down menu. You can then either leave all the 'selected recipients' dropdowns as default and the survey will go out to everyone in the panel file, or you can select a particular demographic.

Set the date and time for your email to go out. The time is a 24 hour clock and batches are sent out on the hour every hour, so the field will only accept whole numbers up to 24. Select whether to send to 'all' or 'non-respondents only' (the latter option being used for reminder emails). You also have the option to set the email’s recurrence to ‘Daily’ or ‘Weekly’. However, we recommend that your email reminders are not sent too frequently.

There is also an option to 'exclude survey link' from an email batch. This can be used to send out general survey 'comms'. There is more information on excluding a survey link in this article.

Once you’re happy with your settings, click ‘Save’. Your email has been scheduled.

Sending a reminder email

You can create a reminder email in exactly the same way as above. When you reach the 'send to', choose to send your email to ‘Non-respondents only’. This will send the email to anyone who has not yet completed your survey.

Once you’re happy with your settings, click ‘save’ at the bottom of the pop-up window.

You can set up as many email batches as you like. Usually for an engagement survey lasting two weeks, there would be an initial invite, followed by 2 general reminders and a final reminder the day before the survey closes.
