Organisation Roles: Super User vs User

The two different roles for when you are on our Unlimited licence and running your own surveys

Overview

When your organisation runs surveys with us, there are now two roles available:

  • Organisation Super User (the default role for most clients)

  • Organisation User (new)

Most clients will continue to use Organisation Super Users for day-to-day survey activity. This role provides full access and is the simplest way to manage surveys centrally.

However, with the introduction of the Organisation User role, you can now delegate survey activity more widely across your business, while still keeping data secure and access restricted.

How the roles work

Organisation Super User

  • Full visibility: Access to all surveys across the organisation.

  • Survey management: Can create, configure, and monitor any survey.

  • Data access: Can view results from all teams, departments, or regions.

  • Governance: Ensures surveys follow consistent standards across the business.

Who it’s for: HR leaders, People teams, and other senior stakeholders who need oversight of the entire organisation.

Organisation User (new)

  • Restricted access: Can only view and manage the surveys they personally create or to which they are assigned.

  • HRIS integration: If enabled, their access is automatically limited to the areas of the organisation they are responsible for (e.g. a department or region).

  • Self-service: Can import their own files and configure their own surveys.

  • Controlled visibility: Cannot see surveys or results created by other users.

Who it’s for: Regional HR managers, business partners, or team leads who should only run surveys in their own area.

Licences

Every Unlimited purchase comes with 10 licences included. These can be assigned to any mix of Organisation Super Users and Organisation Users - we don’t differentiate between the roles. Licences can be reassigned at any time, giving you flexibility as your teams change.

Each licence comes with one set of training, and if you need to reassign a licence and further training is required, we can provide that too. Additional licences are available if needed.

Summary

For most organisations, the Organisation Super User role will remain the standard way of working. It keeps things simple and ensures a centralised view across all survey activity.

But the Organisation User role changes what’s possible. It allows local managers and HR partners to run their own surveys safely, in their own areas, without requiring full access. This makes the platform more useful, reduces workload on central teams, and helps survey activity scale across the business.
